Who we are

ClientLore is a business phone and client-communication service for salons, spas, and med-spas, operated by Beauology, Inc. (d/b/a ClientLore), Fremont, California (“ClientLore,” “we,” “us”). You can reach us at support@clientlore.com .

Scope of this policy

This policy covers information we handle when a business (“salon”) uses ClientLore and when visitors use our websites. ClientLore processes information about a salon’s clients on the salon’s behalf and under its instructions; the salon is responsible for its own relationship with its clients, including the notices and consents it provides to them. If you are a client of a salon, the salon’s own privacy notice governs how it uses your information, and questions about its practices should go to the salon. ClientLore is operated from, and stores information in, the United States. If you access the service from outside the United States, you understand your information is processed in the United States.

Information we collect

  • Account information: names, email addresses, phone numbers, and role information for salon owners and team members.
  • Salon client records: contact details and related records (for example names, phone numbers, email addresses, text-messaging opt-in and opt-out status, and appointment information) that a salon imports from files, enters directly, or syncs from its booking system (such as Meevo).
  • Communications: calls, voicemails, text messages, and, where the salon has enabled it, call recordings and transcriptions handled through the salon’s ClientLore number.
  • Payment information: processed by our payment provider, Stripe. We do not store card numbers.
  • Technical information: device, log, and usage data (such as IP address and app diagnostics) generated when the service is used, and privacy-preserving, cookieless site analytics (aggregate page-view metrics collected by our hosting provider; no cookies and no cross-site tracking).

How we use information

We use information to provide and operate the service (routing calls and messages, keeping client records in sync), to provide optional features such as transcription and AI-assisted message drafting, to support and secure the service, to bill for it, and to comply with law. We do not use one salon’s client records to benefit another business. We may use de-identified or aggregated usage information to operate and improve the service. AI-assisted features process the content you give them only to produce the result you asked for; we do not use salon client records, call content, or messages to train AI models.

Call recording and transcription

Salons may enable call recording and transcription. Recording laws (including California’s requirement that all parties consent) apply to recorded calls, and each salon is responsible for complying with them, including any notification the law requires. Recordings and transcriptions are stored for the salon and are not used for any other purpose. Transcription is performed by our transcription provider under terms that prohibit it from using recordings for its own purposes.

Text messaging

Text messages are sent and received through registered business messaging channels. Reply STOP to opt out of texts from a salon and HELP for help. You may also opt out by any other reasonable method, including by asking the salon directly. Message and data rates may apply. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Opt-in and opt-out status is shared only with the service providers that deliver messages and, where a salon has connected a booking system, with that booking system so the salon’s records stay in sync; it is never shared for marketing purposes.

Service providers

We share information only with the service providers needed to run ClientLore, under contracts limiting their use of it: Telnyx (telephony and messaging), Supabase (hosting and databases), Stripe (payments), Amazon Web Services (infrastructure), AssemblyAI (call transcription, call summaries, and AI-assisted message drafting, using large-language models run on AssemblyAI’s platform under terms that prohibit training on customer content), Vercel (website hosting and privacy-preserving site analytics), and, where a salon connects one, its booking-system provider (such as Meevo). We may also disclose information when the law requires it, to protect the rights, safety, or property of ClientLore, our customers, or others, or as part of a merger, acquisition, financing, or sale of all or part of our business, in which case the successor is bound by this policy for information collected before the transfer.

What we don't do

  • We do not sell personal information.
  • We do not share personal information for cross-context behavioral advertising.
  • We do not let one business see or use another business’s client data.

Not for health information

ClientLore is not designed for, and must not be used to store or transmit, protected health information subject to HIPAA. We do not sign Business Associate Agreements.

Retention and deletion

We retain information while a salon’s account is active and as needed for legal, billing, and security purposes. When an account is closed, salon data is deleted or de-identified after the 30-day export period described in our Terms of Service, except where the law requires longer retention. Call recordings are retained for the period included in the salon’s plan and then deleted automatically; transcriptions are kept until the salon deletes them or its account closes. Records of text-messaging consent and opt-outs may be retained for up to five years, including after an account closes, to comply with messaging rules and defend against messaging-law claims. Technical logs are kept for a limited period for security and troubleshooting.

Your rights

California residents have the right to know, access, correct, and delete personal information, and the right to opt out of sale or sharing (we do neither). Residents of other states with similar privacy laws may exercise comparable rights the same way. To exercise these rights, email support@clientlore.com . We will verify your identity before responding. If you are a client of a salon that uses ClientLore, we may direct your request to that salon, since we process your information on its behalf. We will not discriminate against you for exercising your rights.

Children

ClientLore is a business service and is not directed to children under 13. We do not knowingly collect their information.

Security

We protect information with encryption in transit and at rest, access controls, and monitoring. No system is perfectly secure; we notify affected salons of incidents promptly, and others as the law requires.
